How we collect, use, and protect your information — including data accessed via Google API Services for our client analytics dashboard.

1. Who we are
Collab Media Agency ("Collab Media," "we," "us," or "our") is a digital marketing agency based in Pembroke Pines, Florida, USA. We operate the website collabmedia.agency and the client analytics dashboard at demo.collabmedia.agency (the "Dashboard"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
2. Information we collect
2.1 Information you provide directly
- Contact information — name, email address, phone number, business name, and any other details you submit through our contact forms, newsletter signups, or onboarding documents.
- Service-related information — business goals, target audience, competitors, existing accounts, brand assets, and similar information needed to deliver our services.
- Communications — email, SMS, and call notes between you and Collab Media.
2.2 Information collected automatically
- Usage data — pages visited, referrers, device type, browser type, IP address, approximate location, and session duration on collabmedia.agency and the Dashboard.
- Cookies and similar technologies — we use first-party cookies and tags from Google Analytics, Meta Pixel, and LinkedIn Insight to understand site performance and measure marketing campaigns. You can disable cookies in your browser settings.
2.3 Information accessed on your behalf via third-party APIs
When you authorize the Dashboard to connect to your accounts, we access — strictly on your behalf — analytics and content metadata from the following services:
- Google Search Console — search performance, click-through rates, indexed pages, queries.
- Google Analytics 4 (GA4) — site traffic, audience, behavior, and conversion metrics.
- Google Business Profile — profile views, calls, direction requests, reviews.
- YouTube Data API — channel and video performance metrics.
- Meta Graph API (Facebook + Instagram) — page and account metadata, posts, and engagement metrics.
We do not access private user messages, payment information, or any personal data of your end-customers through these integrations.
3. Google API Services — Limited Use disclosure
Collab Media Agency's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- We use Google user data only to provide and improve the analytics features visible to the user who authorized access (i.e. the account owner viewing their own dashboard).
- We do not transfer Google user data to third parties except as necessary to provide or improve the user-facing feature, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with prior notice to affected users.
- We do not use Google user data to serve advertisements or for any purpose unrelated to the dashboard features the user authorized.
- We do not allow humans to read Google user data unless: (a) we have the user's affirmative consent for specific data, (b) it is necessary for security purposes (such as investigating abuse), (c) it is required by law, or (d) the data has been aggregated and anonymized for internal operations.
4. How we use information
We use the information we collect to:
- Deliver, maintain, and improve our marketing services and the Dashboard.
- Communicate with you about your account, projects, and service updates.
- Generate analytics and AI-powered insights inside your Dashboard.
- Send marketing communications, where you have opted in (you can unsubscribe at any time).
- Comply with legal obligations and enforce our Terms of Service.
5. How we store and protect information
- API tokens and credentials are stored encrypted (KMS-encrypted SecureString) in AWS Systems Manager Parameter Store.
- All data in transit is protected via TLS 1.2 or higher (HTTPS).
- Access to client data is restricted to Andres Sarmiento (Founder) and is not shared with employees, contractors, or third parties without your explicit consent.
- We retain personal information only as long as needed to provide our services, comply with legal obligations, resolve disputes, and enforce agreements. You can request deletion at any time (see Section 7).
6. How we share information
We do not sell your personal information. We share information only in these limited cases:
- Service providers — companies that help us operate our business, such as AWS (hosting and storage), Anthropic (AI insights generation), Stripe (billing), and email/SMS providers. These providers process data on our behalf under written contracts and are not permitted to use your data for their own purposes.
- Legal requirements — if required by law, subpoena, court order, or governmental request.
- Business transfers — in the event of a merger, acquisition, or sale of assets, with prior notice to affected users.
7. Your rights and choices
You have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your personal information and disconnect any linked Google or Meta accounts.
- Withdraw consent for marketing communications at any time.
- Revoke API access at any time by visiting your Google Account permissions page or your Meta Business Settings.

8. Children's privacy
Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
9. International users
Our services are operated from the United States. If you access our services from outside the U.S., your information may be transferred to, stored, and processed in the U.S. under U.S. privacy laws, which may differ from those in your jurisdiction.

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be notified via email or a prominent notice on our website before they take effect.
