Email Marketing for Small Businesses: A Practical Starting Guide

Email is the least glamorous channel in marketing and, dollar for dollar, usually the most profitable. No algorithm decides who sees your message. No platform can change the rules overnight. Your list is the only audience you actually own.

First: why email, when social exists?

When you post on social, the platform shows it to a fraction of your followers. When you email your list, it lands in front of everyone who opens their inbox — typically a third to half of a healthy small-business list actually opens. There is no other channel where a message from you reliably reaches that share of your audience for near zero cost.

Social builds the relationship. Email monetizes it. You need both — but only one of them is yours.

Building a list (without buying one — never buy one)

Purchased lists destroy your sender reputation, annoy strangers, and violate anti-spam law in most places. Build instead:

  • Ask at the point of sale. "Want our monthly specials by email?" Checkout — physical or online — is your highest-converting moment.

  • Put a simple signup on your website. One field (email), one sentence on what they'll get and how often. "Join our newsletter" convinces no one; "Get one useful marketing tip and our specials, twice a month" does.
  • Collect at events, bookings, and quotes. Anywhere a customer already gives you information, offer the opt-in checkbox.

A list of 500 real customers is worth more than 10,000 strangers. Depth beats width everywhere in email.

What to actually send (the part everyone gets stuck on)

The businesses that stall out are the ones that only send "BUY NOW" emails — and then feel gross about it and stop. Use a simple mix; every email should be one of these:

  1. Useful — a tip, a how-to, an answer to a common question. This is why people stay subscribed.
  2. Human — a story from the shop, a team introduction, what you're working on. This is why they remember you.
  3. Commercial — the special, the new service, the booking reminder. This is why the list makes money.

A workable ratio is two useful/human emails for every commercial one. If you already write blog content, your emails are half-written — the email is the short version with a link.

How often, and when

Twice a month is the sweet spot for most local businesses: enough to be remembered, not enough to be annoying. Weekly works if you genuinely have that much to say. Less than monthly and every email feels like a cold start.

Staying out of the spam folder

  • Use a real email platform (Mailchimp, Brevo, Klaviyo — any reputable one), never BCC from Gmail.
  • Send from your own domain (you@yourbusiness.com), and have your platform walk you through verifying it (SPF/DKIM — ten minutes, once, big deliverability difference).
  • Make unsubscribing easy. Fighting it hurts deliverability for everyone else on your list.
  • Never paste 40 images and no text; spam filters hate it.

Measure just three things

Opens (are subject lines working?), clicks (was the content worth anything?), and unsubscribes (spiking after a send = wrong message or wrong frequency). Ignore the rest of the dashboard until those three are healthy.

The honest starting plan

  1. Pick a platform this week.
  2. Add the signup to your site and your checkout habit.
  3. Write one genuinely useful email and send it to whoever's on the list — even if that's 40 people.
  4. Repeat twice a month, forever.
